What is the Idea Workspace?

A powerful dashboard for managing all ideas across your products.

Key Capabilities:

  • View all ideas in one place
  • Filter and sort by various criteria
  • Bulk operations for efficiency
  • Track idea progress through statuses
  • Assign ideas to team members

Access:

Available to all employees with appropriate permissions.

Idea List & Filtering

Viewing Ideas:

The main workspace shows a table of all ideas.

Columns Available:

Filtering Options:

  • Product: Filter by specific product
  • Status: Show specific statuses
  • Date Range: Submitted between dates
  • Vote Count: Minimum votes
  • Author: Specific user's ideas
  • Search: Full-text search

Saving Filters:

  1. Set your filter criteria
  2. Click Save Filter
  3. Name the filter
  4. Access from dropdown anytime

Changing Status:

  1. Click on the idea
  2. Use status dropdown
  3. Select new status
  4. Optionally add internal note
  5. Save

Status Notifications:

  • Authors notified of changes
  • Voters notified for major updates
  • Configurable per product

Idea Details

Viewing Idea Details:

Click any idea to open the detail view.

Sections:

Overview:

  • Title, description, category
  • Author information
  • Submission date
  • Current status

Votes Tab:

  • Total votes and weight
  • Vote breakdown by tier
  • Recent voters

Comments Tab:

  • Customer discussion
  • Internal notes (employee-only)
  • Comment moderation

Activity Tab:

  • Full history of changes
  • Status transitions
  • Admin actions

Related Tab:

  • Similar ideas
  • Merged ideas
  • Linked issues

Processing Ideas

Triage Workflow:

Step 1: Quick Review

  • Read title and description
  • Check for completeness
  • Look for duplicates

Step 2: Categorize

  • Assign correct category
  • Add relevant tags
  • Link to related ideas

Step 3: Initial Response

  • Thank the submitter
  • Ask clarifying questions if needed
  • Set appropriate status

Step 4: Evaluate

  • Assess feasibility
  • Check alignment with roadmap
  • Consider vote weight

Step 5: Decide

  • Move to Planned if approved
  • Decline with explanation if not
  • Merge if duplicate

Bulk Operations

Selecting Multiple Ideas:

  1. Check boxes next to ideas
  2. Or use "Select All" for current page
  3. Selection count shows at top

Available Bulk Actions:

Using Bulk Actions:

  1. Select ideas
  2. Click Actions dropdown
  3. Choose action
  4. Confirm changes
  5. View results

Best Practices:

  • Review selection before confirming
  • Use for similar ideas
  • Add bulk action note for history

Merging Ideas

When to Merge:

  • Duplicate ideas from different users
  • Similar ideas that can be combined
  • Overlapping feature requests

Merge Process:

  1. Select the ideas to merge
  2. Click ActionsMerge
  3. Choose the primary idea (kept)
  4. Secondary ideas become merged

What Happens:

  • Votes combine to primary
  • Comments transfer
  • Authors notified
  • Redirect set for merged

Merge Guidelines:

Keep the better-described idea

Preserve all vote credit

Inform affected users

Note in activity log

Assigning Ideas

Why Assign Ideas?

  • Track ownership
  • Balance workload
  • Ensure accountability
  • Speed up processing

How to Assign:

  1. Open idea detail
  2. Click Assign button
  3. Search for team member
  4. Select and save

Or Bulk Assign:

  1. Select multiple ideas
  2. ActionsAssign
  3. Choose assignee
  4. Apply

Assignment Dashboard:

View all assignments:

  • My Ideas: Assigned to you
  • Team Ideas: By team member
  • Unassigned: Needs assignment

Assignment Notifications:

  • Assignee notified immediately
  • Reminder if no action taken
  • Escalation available

Internal Notes

What Are Internal Notes?

Comments visible only to employees, not customers.

Use Cases:

  • Implementation details
  • Feasibility assessments
  • Team discussions
  • Decision rationale
  • Customer context

Adding Internal Note:

  1. Open idea
  2. Go to Comments tab
  3. Toggle "Internal Only"
  4. Write your note
  5. Post
